Viewing requests and submitting prices

This page explains how suppliers can submit prices against quote requests. It details the process from the raising of the quote request by the customer to completion of the project.

Customer raises a request

  • When the customer raises a quote request the supplier will be notified by email. They can view the quote request by logging in and viewing ‘all projects’. The supplier can also follow a link in the email to view the request. More details about the ‘All Projects’ page can be found in the link below

  • When on the all projects screen the user can click either the Project Ref, Project Title or the Quote button to begin submitting prices

Viewing the project and submitting prices

  • When the supplier view the project there will be 4 tabs available

Details

The details tab shows the basic details of the project and also is where the user can view the specification

 

 

Pricing

This is where the user will submit their prices. The user can also submit public or private notes with their prices. Entering notes in the ‘notes’ field means the notes will be shown to admins and customers, private notes however will only be available to the user and other users of the same supplier.

The supplier has different options when entering prices

  • Cancel - Selecting this will return the supplier to the all projects page. Nothing will be submitted

  • Save - The user can enter prices and these will be saved ready for the user to submit later

  • Decline - The user declines the quote and will not be able to submit prices

  • Submit - The supplier enters prices and submits them to the customer

 

 

Financials

This tab will show the customer invoice and the supplier invoice once they have been created

 

Documents

This tab allows users to upload attachments that will be visible to other supplier users, the customer and administrators. Suppliers can also share attachments here which will also be visible to customers and administrators

 

Quote is sent to the customer

Once prices have been submitted and the quote sent to the customer by an admin the status will change to show as ‘Quoted’.

The customer will place the order and an admin will approve the PO and mark the order as complete.

Now the supplier can invoice the customer. To do this they login and view the project. The supplier clicks on the invoice button or they can click on the financials tab.

On the financials tab the user clicks on the ‘not invoiced’ link in the 'Invoices' section.

 

The user enters an invoice number and invoice date and clicks ‘send invoice’.

 

The invoice will be sent and the supplier can view the invoice on the financials tab.
