User Management (Administrators)

 On the system, all Buyers/Managers, Super Users and Financial Controllers are collectively known as ‘Users’ – their different ‘roles’ are defined by their privilege settings. Please refer to the document ‘User and Workflow Configuration’ for details. If you do not have access to this document please contact Claritum Support.

The Users’ Listing

To view the list of Users on the system:

  1. Go to Administrators >† View Administrators

Creating a new User / Administrator

  1. Go to Administrators >† View Administrators
  2. Click the New Administrator button at the top of the page.
  3. Enter the user’s details.
  4. Enter their password in the Password and Re-type password fields.
  5. Set the user’s Language and Timezone.
  6. Click the Privileges tab.
  7. Select the options as required for this user.

    Note: You should refer to the document ‘User and Workflow Configuration’ for a details on what each option means and how they might relate to this user.

  8. Click the Save button at the bottom right.

If you wish to restrict this user to only specific Customers then you can only do this once you have created the user.

Changing an Administrator's details, permissions or Customers

  1. Go to Administrators > View Administrators
  2. Click the name of the administrator to change.
  3. Change the details as required.
  4. Click the Privileges tab to set the user's permissions.
  5. To restrict the Customers that this Administrator can access:
    1. Click the Customers tab.
    2. Click the Selected customers option.
    3. Select a customer from the pull-down menu.
    4. Click Add.

      Note: you can remove unwanted customers from this list by clicking the red cross.

    5. Repeat these steps adding as many customers as necessary.
    6. Click Save.

Exercise

  1. Create a new administrator with a spend limit, making yourself as the 'Line Manager'.
  2. Restrict the user to just one customer.
  3. Login as that user and create a job with a supplier order value that exceeds the user's spend limit.
  4. Approve the user's spend request as yourself.
